DataMagine™ Document Management

Attendant Module
This module monitors incoming e-mail messages and routes them to specific users who can then launch a DataMagine DocFlow job and/or automatically index and archive an e-mail attachment. The Attendant module also supports the processing of attachments with embedded barcodes.

Bar Code Module
This module detects barcode(s) on a scanned document, and then automatically indexes the associated document (image) into the DataMagine Imaging system. Recent enhancements enable the use of barcode separator pages in a batch job, propagating barcode values from a single page and using those values to index pages beneath it. This functionality is especially valuable for “back file” conversions in such areas as human resources or accounts payable.

DataMagine Barcode module features include:

• Map up to 12 individual barcodes to a maximum of 12 indexes
• Map a single bar code to multiple indexes
• Automatically populate index data fields by detecting barcode values from a scanned document or cover page 
  

CD Burning Module
Export archived images and save the images and related indices onto a fully-searchable, self-contained CD/DVD. The CD/DVD can then be utilized by remote locations, auditors, customers and vendors who may not have access to DataMagine.

DataMagine CD Burning module features include:

• Output scanned images, digital pictures, system-generated reports and documents to a compact disk

DocFlow Module
Unlike high-cost, high-maintenance and complex workflow solutions, the DocFlow module provides a simple and effective way to electronically route documents such as contracts, purchase requests and new hire documents. DocFlow jobs are then routed to individuals or groups for review, approval or rejection. All stages and actions by the reviewing users are logged and tracked for historical access. With no coding required, the DocFlow module is fast and easy to implement across an entire organization.

Document Imaging Module
Scan or import external documents quickly and easily with the DataMagine Document Imaging module. Our patented solution seamlessly integrates with virtually all business applications without coding or complex application programming interface (API) tool kits. Simply define a “Hot Key” and DataMagine will extract unlimited indices from a business application screen to index and/or instantly retrieve electronic images. With no programming or API tool kits required, the DataMagine Document Imaging module can be implemented in days — not weeks or months — and provides a rapid return on investment.

Index Update Module
The Index Update module supports the ability to extract field values (indices) from an external database file that was not available during the initial indexing of an image. The retrieved value(s) will be populated into the DataMagine index record automatically.

Signature Capture Module
Display electronic content on a digitized capture device (such as a pen pad), along with terms and conditions, for customer review and signature on the device. Captured signature is then applied to a digitized document such as bills of lading, sales receipts, personnel documents and hotel registration cards. The signed transaction is then stored with multiple index values in DataMagine for future online retrieval.

Report Archive and Retrieval Module
This module enables you to automatically capture, burst, index and electronically file virtually all ongoing business generated reports (print streams), eliminating the need to print, distribute and file traditional hard copy reports. Users can access current and historical archived reports (based upon their security level) for online viewing, text searching, e-mailing, addition of annotations and many other functions — all directly from their workstation.

Sign and Secure Module
DataMagine’s newest module, Sign & Secure, provides the ability to electronically capture images, such as a point-of-sale transaction, waiver, etc., and display the information on a wireless device that can be presented to a customer for review. The customer can swipe their own credit card/room key card and apply their signature to the device. The signed digitized transaction is then stored in DataMagine for future online retrieval.

DataMagine Sign and Secure module features include:

• Electronically display images or content on a wireless device
• Customers can swipe their own credit card or room key card
• Customer signs device (acceptance) and signature is securely applied to digitized image
• Signed accepted transaction (image) is then available for future online retrieval to settle disputes and eliminate write offs
  

Web Scan/Index/Search Module
The DataMagine Web module provides a browser-based means for users to scan, index, search, view, annotate, print and e-mail documents via the Internet. The Web module offers the same patented functionality as provided in the thick client DataMagine imaging module to index/retrieve images based upon linking to virtually any business application screen via a user-defined “Hot Key”.

DataMagine Web Scan/Index/Search module features include:

Driver's License & Passport Scanning Module
This interface utilizes a small scanner to scan Driver’s licenses and Passports.  Automatically links data to LMS, Visual One PMS and other business applications.  This adds the benefit for producing accurate data for proof of identity to reduce fraud and other activities.
